A simple monthly bookkeeping checklist

Before relying on your numbers, check that the month is complete. Use these five questions to spot the next task.

1. Are the records complete?

Gather bank and credit-card statements, invoices, receipts and loan statements. Keep supporting records organized by month and account.

2. Do the accounts reconcile?

Compare each bank and credit-card account with its statement. Investigate missing or duplicate entries. In QuickBooks, resolve an incorrect beginning balance before completing reconciliation.

3. Are the categories clear?

Review uncategorized items and separate personal transactions from business activity. Keep a list of anything you need to ask your bookkeeper about.

4. What is still owed?

Review unpaid customer invoices and upcoming bills. A profitable month does not always mean cash is available when payments come due.

5. Can you explain the reports?

Review your profit and loss and balance sheet. Check unusual changes and confirm the reporting period before making a decision.

Common IRS forms & downloads

Choose a PDF to open it directly on IRS.gov, then use your browser’s download button. Each card also links to the official form page for instructions and revisions.

Check the tax year before you file. IRS current-PDF links can change as forms are revised and may not match the year you need. Read the year or revision printed on the form, use final forms rather than drafts, and confirm the instructions. Find prior-year forms or search all IRS forms and accessible versions.

Partnership, S corporation or corporation? Find the appropriate entity return and related schedules in the IRS forms directory. Creating an LLC does not by itself determine which federal return to file.

Starting an LLC in Arizona

Arizona LLC formation is handled by the Arizona Corporation Commission (ACC). The Secretary of State handles other services, including trade names and notary commissions.

  1. Choose the structure and check your name. Read the ACC’s starting-a-business guide and search existing entities through its current portal.
  2. Prepare your LLC filing. Review statutory-agent, management and Articles of Organization requirements in the official LLC forms and instructions. Confirm current fees and any publication requirements with ACC.
  3. File with ACC. Use Arizona Business Center, the current online business-filing portal. Read the approval notice and complete any required follow-up steps.
  4. Get an EIN where needed. Apply through the IRS EIN service. Getting an EIN directly from the IRS is free. Form your LLC with the state before applying.
  5. Check tax registrations and permits. Use Arizona Business One Stop and ADOR business guidance. Check city, county and industry requirements for your activities and location; LLC approval is not a blanket business license.
  6. Set up your financial records. Separate business transactions, retain supporting documents and establish a monthly bookkeeping and reconciliation routine. Read IRS Publication 583: Starting a Business and Keeping Records.

Business structure, ownership agreements and tax elections can affect your responsibilities. Use the official instructions and consult an appropriately qualified professional when your circumstances need individual advice.
